Purpose

The week after the Leaders Workshop, the Collaboratory kicks into extreme recruiting mode. This is a critical week, as there are many opportunities for us to reach a number of students that are not possible later in the year. During the Workshop, Groups should have set a desired number of new recruits, and spent time working on presentation material highlighting their Group for use in these various recruiting events.

The Collaboratory Recruiting Model

Quality assurance requires personnel, project commitments, and funding in proper proportion. Too few people overworks personnel and diminishes quality; too many has caused Groups to invent new projects for the surplus (see recruiting). To help funnel the needed number of personnel to each Group, the Collaboratory does not allow open recruiting during these events. During each event, new recruits may fill out an interest survey, but may not be promised a spot on any particular Group until after every recruiting event is finished. At the conclusion of the week, Group Leaders will get together, with all interest surveys in-hand, and hold a "draft" of sorts, being sure to fill each Group's personnel needs equally. After this draft, Group Leaders will be responsible for calling each new recruit personally, welcoming them into the Group and giving them the date/time of the first Monday night meeting.

Recruitment Week Events

Be sure to get commitments from student leaders during the Workshop for each event! The more student leaders represented at each event, the better chance we have at attracting new recruits!

Opportunities Fair

The Opportunities Fair is scheduled by the Student Programs Office at the end of Welcome Week. The Director of Student Programs typically sends an email request for RSVP in late July. Be sure to respond and reserve a booth right away! This event is held in Larsen, with booths inside and out. Be sure to get an outside booth so the Collaboratory can use several props (Trikes, pumps, solar panels, ect) to attract recruits. There will be many student organizations represented at this fair, so our display and representation must be over the top!

Ice Cream Social

The Ice Cream Social is scheduled by the Agape Center at the end of Welcome Week. The Local Community Service Director of the Agape Center sends an email request for RSVP in late July. Be sure to respond and reserve a booth right away! This event is held in Brubaker Auditorium, with plenty of room for our props to attract recruits. There will be many student organizations represented at this fair, so our display and representation must be over the top!

Pizza Party

The Pizza Party is our exclusive recruiting event, scheduled during the first week of classes. This event is best held in a highly visible location, such as the Jordan Atrium, where passers-by can wander in to see the excitement! The event starts with an overview of the Collaboratory, followed by pizza and mingling. Each Group should be represented with materials developed during the workshop. During the event, the latest Collaboratory video can be playing over a projector.

Planning

  1. Be sure to reserve the space during the summer months! Before scheduling this event, find out the date of the Agape Center Ice Cream Social and plan to hold the Pizza Party on a different day.
  2. It is hard to estimate the number of attendees during this event. You can get a rough estimate by doubling the count for all incoming IPC students. Then, budget $4/attendee.
  3. Sample Food List
    • We ordered pizza for 60 people
    • 7 bags pretzels
    • 5 packages of cookies
    • 4 gallons of water
    • 30 liters of soda
    • 1 bag of ice
    • 100 plates/cups/napkins
  4. Advertising
    • Make sure to have the Staff Manager create flyers to hand out during the Student Opportunities Fair
    • Send a mass email request to be delivered on the morning of the event advertising it. Make sure to allow 2 days for processing!

Running it

  1. The event runs from 6-8PM
  2. If using a space like Jordan Atrium, also reserve a classroom close by and use it to give a brief presentation on the Collaboratory during the first 15 minutes. This should include an overview on what the Collaboratory is and possibly a showing of the latest Collab video.
  3. Once the presentation is complete, allow everyone to mingle, eat pizza, and talk to current leaders about the Collab projects.

The Draft

After these three big events, the Group Leaders will get together with every interest survey in-hand. They will then sort these based on each Group's individual need. Once finalized, Group Leaders must call each new recruit and invite them to join us for our next Monday Night Meeting. Be sure to get this meeting on each Group Leaders' schedule!

Post Recruitment Week Events

Integrated Project Curriculum (IPC) Recruitment

Those Groups that are involved in the Engineering IPC will be required to make short 10 minute presentations during the Intro to Engineering Course, preceding each student's selection of a Group Orientation class in the spring semester. These should be scheduled with the instructor of that course over the next 5 weeks.

Classroom Visits

After the draft, there may still be personnel needs in certain Groups. These should be passed on to Staff's Human Resources team, who will work with your Group in several areas to schedule classroom visits during classes in your area of expertise.

Flyers, Announcements, Ect.

Staff's Human Resources team will also work with your Group to develop literature, flyers, announcements, ect, to be posted in various areas to help with your Group's personnel needs.
