Scholarship Fund Policy

  1. The scholarship fund will be financed by funds raised by Site Teams (not including internal money transfers) that are over and above the cost of their trips.
    • From the overage funds raised by Site Teams, 50% will be set aside for the Scholarship Fund.
    • The Collaboratory Manager and Finance accountant will take care of overage funds when they close up the team's finances.
    • The remaining 50% of the overage funds will be used with the discretion of the advisor and student leader of the Site Team.
  2. Individual Site Team members may be considered for a site team scholarship during the support raising period if the individual:
    • Submits a request that does the following:
      • Demonstrates financial need and is unable to raise total trip cost
      • Displays a good faith effort in raising financial support (decided by the OCM during review of application)
      • Provides any necessary details that pertain to your request to be vetted by the OCM.
  3. Site Teams may be considered for a site team scholarship upon returning from their trip if:
    • There is a remaining team deficit upon returning from the trip.
    • Site Team displayed a good faith effort in raising financial support (decided by the OCM during review of application)
    • The Site Team advisor and team leader submit one application.
  4. The requests will be reviewed and approved by the OCM in an effort to protect the confidentiality of the applications.
    • The OCM will make a decision based on amount of money available and their assessment of the strength of the request.
    • Individual Site Team members will have priority over site teams for receiving scholarship.
  5. Site Teams applying for the scholarship will receive up to a maximum of the cost of one person for their trip.
    • i.e. Most trips cost approximately $3000 per person. Site Teams applying for the scholarship can receive an amount up to $3000 to help with their deficit.
    • The purpose of the financial cap is to refrain from allowing Site Teams to constantly drain the scholarship fund.
