The Collaboratory is an organization comprised of volunteer workers who generally receive no financial compensation for their hard work. The Collaboratory does recognize, however, that there are certain positions requiring students to forgo other employment opportunities because of the amount of work and level of responsibility that these roles entail. Thus, there are certain occasions when students are paid for their work within the Collaboratory. Please read our policy for a detailed explanation of those circumstances.

Process

Below are the steps that need to be taken for a student to be authorized for employment by the Collaboratory and Messiah College. Please also see the Student Employment/Payroll page on Messiah's Business Office/Payroll website for further information, including the current Student Employee Handbook, schedules, and forms required by Messiah College Payroll.

  1. The position and funding for all work studies should be approved in the Project proposal or planning article, and budget.
  2. The student and Project Advisor will fill out the appropriate Collaboratory work study application and turn it in to the Manager of the Collaboratory in the Collaboratory Office, Frey 353. Please see the academic year or summer employment section below for the proper application and instructions.
  3. The Manager of the Collaboratory will contact Payroll and the Financial Aid Office to authorize a student as a work study for the Collaboratory.
  4. The student then will need to:
    • Fill out and turn in a Messiah Employment Application (required for summer positions only). To do so, the student can stop by the Financial Aid office.
    • Stop by the Financial Aid Office to sign a work study contract.
    • If this is the student’s first job at Messiah College or if they have not worked at Messiah College in over a year, the student will need to stop by the Payroll office with two acceptable forms of ID and fill out their applicable tax forms. A student cannot start work without an I-9 Form on file.
  5. A W-4 and a Certificate of Residence will be sent to the student through campus mail during the academic year and are available during Welcome Week.

Academic Year Employment

Positions

  • The following Executive, Staff, and administrative positions are paid positions during the academic year:
    • Student Director (7-10 hours/week) *
    • Assistant Student Director (7-10 hours/week) *
    • Student Staff Manager (7-10 hours/week) *
    • Student Administrative Assistant (10-15 hours/week)

* It is the responsibility of the Student Director, Assistant Student Director and Student Staff Manager to track and record their work hours. Because the Collaboratory is an organization primarily comprised of volunteers, the first three hours of work should be considered volunteer time. If a student in one of these leadership positions runs out of leadership responsibilities for the week and has not worked 7-10 hours (above and beyond the initial three hours of volunteer time), and wishes to work additional hours, they should see the Manager in order to receive additional administrative responsibilities.

  • Collaboratory work study: Groups, Projects, or Site Teams with sufficient grant funding may also hire Collaboratory members for student work study positions. Per our policy, both the position and funding must be represented in the most recent approved project proposal or project planning article.
  • ALL academic year Collaboratory positions begin at the 3H level of pay (currently $7.85/hour). The 3H level assumes that student employees within the Collaboratory have an advanced skill level. Student work studies receive a two level increase in their rate of pay for every year that they work for the Collaboratory (currently $.30).

Application

  • ALL Academic year work study applicants must fill out an application, with the assistance of their project advisor (or the Manager of the Collaboratory if an Executive or Staff position). The PDF form may be filled out electronically (see below for instructions) or printed and completed by hand. In order to record the dates of position and funding approval, search for "Category:Approved" in the wiki search bar, find your article or budget, and click on it. Record the most recent approval date found at the bottom of the page and the committee that approved it at that time. Completed applications should be turned in to the Manager of the Collaboratory in the Collaboratory Office, Frey 353, or sent to Messiah box # 3034.

Electronic Instructions

The form can be opened and edited in many PDF viewers; however, changes will only be "saved" by printing the document to a PDF. This is done by printing as usual, and selecting a PDF printer in the printer drop-down box. In the labs, CutePDF is installed; PDF printers such as CutePDF and Bullzip are available online for free. After the document is printed, email it to the Manager of the Collaboratory!

Summer Employment

Positions

  • The following Executive and Staff positions are paid positions during the summer
    • Student Director (will work 40 hr/week for a maximum of 14 weeks over the summer)
    • Student Staff Manger (will work a maximum of 60 paid hours total over the summer)
    • Assistant Student Director (will work a maximum of 60 paid hours total over the summer)
    • Executive and Staff positions begin at the 3H level of pay (currently $7.85/hour). The 3H level assumes that student employees within the Collaboratory have an advanced skill level. Student work studies receive a two level increase in their rate of pay for every year that they work for the Collaboratory (currently $.30).
  • Collaboratory work study: Groups, Projects, or Site Teams with sufficient funds may hire Collaboratory members for summer work study positions. Per our policy the funding must be represented in the most recent approved budget. The hourly wage may be set at the Project Advisor's discretion, with a minimum wage set at the 3H level of pay (currently $7.85/hour).
  • The sponsoring Group, Project or Site Team must also cover the student employee's on-campus room and board (currently $215.00/week) or provide a $4.00/hour increase in the rate of pay in order to compensate for off-campus room and board.
  • Note that if a student will not be attending Messiah College in the fall, the hiring will have to be done through Messiah College Human Resources.

Process

Student Employment Time Sheets

The student’s Collaboratory supervisor (generally the Manager of the Collaboratory) will receive the student’s time sheet from Payroll every two weeks and will forward this to the student employee. It is the student’s responsibility to fill out the time sheet and turn it in to their supervisor by the date specified on the time sheet. Please see the Student Employment/Payroll page on Messiah's Business Office/Payroll website for the schedule of periods and due dates for student employment time sheets. The student employee is also requested to print off and turn in a copy of the pay stub for each pay period (every two weeks) to the Collaboratory's Finance Team, for internal reporting purposes. A copy of the stapled or sealed pay stub should be placed in the box labeled "Pay Stub" in the Collaboratory Office (F353).
